Travel, Meeting and Event Services Intern
DUTIES AND RESPONSIBILITIES:
- Assist all requests and questions related to all web-based reporting tools (Meeting Center, Etouches and Galaxy travel) – will train.
- Assist MES planning team with hotel site searches, and summarizing information for meeting hosts
- Assist with emails and calls in the MES inbox and main department phone line.
- Communicates special needs to Cox Travel Services, including being point of contact for attendee air deviations and special travel requests
- Manage room block(s) and work with MES planning team with any changes/updates
- Assist with Banquet Event Order (BEO) review, Event space planning (meeting room layout, event flow, food and beverage placement)
- Procure, assist and ensure delivery of all pre-trip and on-site materials – travel staff binders, trip kits, stationary for invitation/welcome packets, name bade/tent card stock and onsite reports
- Provide customer service via phone and e-mail to meeting attendees and meeting hosts
- Assist with administrative needs: printing agendas, name badges, signage, shipping and reporting
- Collaborate with Audio Visual and Cox Conference Services teams with on campus events
- Possibility of travel to one or more events
- REQUIREMENTS:
- College student working for Academic focus or major in Hospitality and Event Management, Marketing or a communication-related field, with a strong interest in event management
- Minimum 90 total credits
- Minimum 3.25 GPA
- Preferred completion of upper level Hospitality and Event Management classes
